Introduction

At Kavya Computer Training, we are committed to providing quality education and ensuring student satisfaction. This Refund Policy outlines the terms and conditions under which refunds may be processed for course fees and other payments made to our institute.

Please read this policy carefully before enrolling in any course. By making a payment, you acknowledge that you have read, understood, and agree to be bound by this Refund Policy.

This version is effective for enrollments and payments from 2026 onward and aligns with our current fee structure, digital payment methods (UPI, cards, net banking, and other channels we accept), and applicable Indian law including consumer protection norms as understood in 2026.

1. Eligibility for Refunds

1.1 Full Refund Eligibility

You may be eligible for a full refund under the following circumstances:

  • Course cancellation by the institute before the start date
  • Withdrawal request submitted at least 7 days before the course start date
  • Medical emergency or other documented extenuating circumstances preventing course attendance
  • Failure of the institute to deliver the course as advertised

1.2 Partial Refund Eligibility

Partial refunds may be considered in the following cases:

  • Withdrawal within the first week of course commencement (subject to administrative charges)
  • Withdrawal after course commencement but before 25% of the course is completed
  • Documented circumstances that prevent course completion

2. Refund Timeframes

2.1 Processing Time

Approved refunds are typically initiated within 15–30 business days. Settlement to your bank account, UPI, or card may take additional time per your bank, NPCI, card network, or payment gateway rules in effect in 2026. We do not control third-party processing timelines.

2.2 Request Deadlines

  • Full Refund: Request must be submitted at least 7 days before course start date
  • Partial Refund: Request must be submitted within the first week of course commencement
  • No Refund: Requests submitted after 25% of course completion will not be eligible for refund

3. Refund Process

3.1 How to Request a Refund

To request a refund, please follow these steps:

  1. Submit a written refund request via email to kavyacomputernaliya@gmail.com or in person at our office
  2. Include your full name, course name, enrollment number, and reason for refund request
  3. Provide supporting documents if applicable (medical certificates, etc.)
  4. Wait for confirmation and processing

3.2 Required Documentation

  • Original payment receipt or transaction proof
  • Valid identification document
  • Enrollment confirmation
  • Supporting documents for extenuating circumstances (if applicable)

3.3 Refund Method

Where regulations and partners allow, refunds are credited to the original payment method (same UPI ID, card, or account). If that is not possible after verification, we may use bank transfer or another agreed traceable method. Statutory deductions (for example, GST or TDS where applicable and required to be withheld) may reduce the net amount returned; we will explain deductions when they apply.

4. Non-Refundable Items

The following items are non-refundable:

  • Registration fees and administrative charges
  • Course materials and study materials already provided
  • Certification fees (if certificate has been issued)
  • Fees for courses completed more than 25%
  • Any discounts or promotional offers applied at the time of enrollment
  • Third-party service fees (if applicable)

5. Partial Refunds

5.1 Calculation Method

Partial refunds are calculated as follows:

  • Withdrawal within first week: 70% of course fee (30% administrative charge)
  • Withdrawal after first week but before 25% completion: 50% of course fee (50% administrative charge)
  • After 25% completion: No refund applicable

5.2 Administrative Charges

Administrative charges are deducted to cover processing costs, course materials provided, and administrative overhead. These charges are non-refundable.

6. Cancellation Policy

6.1 Student Cancellation

Students may cancel their enrollment at any time. However, refund eligibility depends on the timing of the cancellation as outlined in sections 1 and 5 of this policy.

6.2 Institute Cancellation

If the institute cancels a course due to insufficient enrollment or other reasons, enrolled students will receive a full refund of all fees paid, including registration fees.

7. Special Circumstances

7.1 Medical Emergencies

In case of documented medical emergencies preventing course attendance or completion, we will review refund requests on a case-by-case basis. A valid medical certificate from a registered medical practitioner is required.

7.2 Other Extenuating Circumstances

Other extenuating circumstances such as family emergencies, relocation, or other documented situations may be considered for refunds. Each case will be reviewed individually, and decisions will be made at the discretion of the institute management.

8. Dispute Resolution

If you are not satisfied with a refund decision, you may request a review by submitting a written appeal to the institute management. We aim to resolve disputes through good faith negotiation. Nothing in this policy limits your statutory rights under the Consumer Protection Act, 2019 and related rules as applicable in India in 2026.

9. Changes to This Policy

We may modify this Refund Policy at any time. Changes take effect when posted on this page with an updated "Last Updated" date. Enrollments already paid under a prior version generally follow the policy in force at the time of payment unless we notify you otherwise as required by law.
